This policy describes how Tulsa Roof Reports (“we,” “us”) handles information when you visit this website or submit a documentation request. Plain-language summaries appear throughout; the plain language is part of the policy, not a substitute for it.

Information we collect

We collect information in three ways:

• Request form. When you submit the request form we collect what you enter: your name, email, phone, customer type, optional company name, the property address and details, your project description, requested deliverables, preferred contact method, and your consent confirmation.
• Uploaded files. If you attach photos or documents, we store those files to review your request. Attachments are limited by type and size and are kept in private storage that is not publicly accessible.
• Technical and attribution data. Standard web logs (such as a hashed form of your IP address used for abuse prevention), your browser's user-agent string, and — when available — the page you landed on, the referring site, and campaign (UTM) parameters. We hash IP addresses before storing them with submissions; we do not store the raw address alongside your request.

Property information

Requests include property addresses and descriptions, and completed projects include aerial imagery of the property. We treat property information and imagery as customer data: used to perform and deliver the work, retained as project records, and not published or used in marketing without permission.

How we use information

• To review, respond to, scope, schedule, and deliver documentation projects
• To prevent spam and abuse of the request form (rate limiting, duplicate detection)
• To understand, in aggregate, how the website is used

We do not sell personal information, and we do not add you to marketing lists for submitting a request.

Analytics and cookies

This site is designed to work with privacy-respecting analytics that count page views and anonymous interaction events. Analytics events never include names, email addresses, phone numbers, property addresses, project descriptions, or file names. The site does not set advertising cookies. Session storage is used briefly in your browser to remember how you arrived (landing page, referrer, campaign parameters) so that information can accompany a request you choose to submit.

Service providers

The website and its form processing run on Cloudflare infrastructure (hosting, storage, and spam protection). If email notifications are enabled, a transactional email provider relays submission notifications to us. Providers process data on our behalf and under their own security programs; we share only what the service requires to function.

Data retention

Submission records and attachments are retained while relevant to reviewing or performing work and for a reasonable period afterward for business records. You may request deletion of your submission (see “Your rights”). [Retention periods to be finalized — legal review.]

Security and its limits

Submissions travel over HTTPS, storage is access-controlled, uploads are validated, and IP addresses are hashed. No internet system is perfectly secure, and we cannot guarantee absolute security — we commit to reasonable safeguards proportionate to the data we hold.

Your rights

You may request a copy of the information we hold about you, ask us to correct it, or ask us to delete it (subject to records we are required or reasonably need to keep). To make any of these requests, contact us at tulsaroofreports@gmail.com and we will respond within a reasonable time.

Children

This website is for property owners and professionals and is not directed at children under 13. We do not knowingly collect information from children.

Changes

We will update this policy as the service evolves and change the “last updated” date when we do. Material changes will be noted on this page.
